What we hold,
and what we don’t.

Sentivo only stores what you choose to capture. This page explains exactly what gets recorded, where it lives, who processes it, and how to delete it.

Who we are

Sentivo is operated by Sentivo Inc. (“Sentivo”, “we”, “us”). For questions about this policy or to exercise your rights, email [email protected].

What we collect

Account data

When you sign up we record your email address, display name (optional), and an authentication identifier from Apple, Google, or your email magic link. We never see or store your Apple/Google account password.

Capture data

When you record a voice note debrief, scan a business card, or save a contact, we store:

  • The audio file of the voice note (temporary — see retention)
  • The text transcript produced from the voice note
  • Structured contact fields the AI extracts (name, company, email, phone, conversation summary, follow-up actions)
  • The image of any business card scanned, plus the OCR text extracted from it
  • The occasion or context label you chose (trade show, open home, site visit, etc.)
  • The approximate suburb where you captured the lead, only if you granted location permission. We do not record location in the background.

Subscription and billing data

Payments for Sentivo Pro are processed by Apple. We never see your card number. We receive a transaction identifier and entitlement status from Apple via RevenueCat, which we use to determine whether your subscription is active.

Diagnostic data

We log API errors, sync failures, and usage counters (e.g. how many captures you made in a billing period) so we can keep the service working and respect your plan limits. We do not use third-party analytics that profile you across other apps or websites.

How your data is processed

Sentivo is a thin pipeline. The heavy lifting is performed by the following processors, each acting strictly on our instructions and under contract:

  • Supabase — hosts the database, authentication, and file storage that holds your captures.
  • Groq — transcribes your voice note audio. Audio is sent for transcription only and is not used by Groq to train models.
  • Anthropic — extracts contact fields from your transcripts and drafts follow-up emails. Anthropic processes inputs per its Commercial Terms and does not train its models on API data.
  • Apollo.io— enriches contact records with publicly available professional information when you tap “enrich”. Sent only on your request, with the contact’s name and company.
  • Nango — brokers the OAuth connection between Sentivo and any CRM you connect (HubSpot, Pipedrive, Google Contacts). Nango holds the OAuth tokens; it does not store the contact records that flow through it.
  • Apple & RevenueCat — process and validate your subscription purchase. RevenueCat receives your Apple receipt and tells us whether your subscription is active.
  • Resend — sends transactional emails (login links, receipts, account notifications).

We do not sell your data. We do not use your captured conversations for advertising or AI training of any kind.

Apple Contacts and Google Contacts

If you grant Sentivo permission to your Apple Contacts, that access stays on your device — we never copy your address book to our servers. If you connect Google Contacts, only the contacts you explicitly choose to push or pull are sent through our API.

Where your data lives

Database and file storage are hosted in our Supabase project in the AWS Asia Pacific (Sydney) region. Audio sent to Groq and text sent to Anthropic is processed in their respective US regions before results are returned to our database.

How long we keep your data

  • Voice note audio files are auto-deleted from our storage 60 days after capture by default (configurable per team plan). The text transcript and extracted contact remain unless you delete them.
  • Business card images follow the same 60-day default retention.
  • Contacts, follow-ups, and conversation summaries are retained for as long as your account is active. They are deleted within 30 days of account closure.
  • Subscription and billing records are retained for 7 years to comply with tax law.

Your rights

Wherever you are, you can:

  • Export your data — go to Settings → Privacy → Export. We send a machine-readable file of your contacts, conversations, and follow-ups.
  • Delete your account — go to Settings → Privacy → Delete Account, or email us. All personal data is purged within 30 days, except where we are legally required to retain it.
  • Request a correction or restriction — email [email protected].

If you are in the EU, UK, or California, you may have additional rights under the GDPR, UK GDPR, or CCPA, including the right to lodge a complaint with your local supervisory authority. Australian users have rights under the Privacy Act 1988 and may complain to the OAIC.

Children

Sentivo is not directed at, and we do not knowingly collect data from, anyone under 16.

Changes to this policy

If we materially change how we use your data, we will notify you in the app and by email at least 14 days before the change takes effect. The current policy is always available at this URL.
